The Role: Head of Operations

We are seeking a highly experienced and meticulous Head of Operations to manage our global operations, with a primary focus on laboratory logistics and biorepository management. This pivotal role is based in Barcelona, Spain, and will be responsible for overseeing and optimizing all aspects of our supply chain, inventory, and biorepository services, ensuring the efficient, compliant, and secure handling of sensitive biological materials. The ideal candidate will have a proven track record in a similar environment and a strong understanding of international regulations.

Key accountabilities and responsibilities
  • Global Operations Management: Take formal responsibility for managing all global operations, including logistics, supply chain, and our biorepository.
  • Logistics & Biorepository Oversight: Oversee the day-to-day management of our biorepository, ensuring all specimens are handled, processed, stored, and distributed according to client agreements and regulatory requirements. This includes managing our inventory system, ensuring accurate tracking of specimens and client data.
  • Client & Project Management: Serve as the primary point of contact for external clients, including academic institutions, biotech companies, pharmaceutical firms, and clinical researchers. You will manage client expectations, address inquiries, and ensure all contract specifications are met.
  • Regulatory & Quality Compliance: Ensure all operations, including logistics and biorepository services, adhere to relevant national and international regulations, such as FDA, AATB, DOT, IATA, GLP, GMP, GCP, GDPR, and HIPAA. Manage internal and external audits and maintain meticulous documentation for audit readiness.
  • Process Improvement & Risk Management: Continuously identify and implement process improvements to enhance efficiency, reduce costs, and minimize risks. You'll also develop contingency plans to mitigate disruptions.
  • Team Leadership: Supervise and provide training to biorepository and operations staff, ensuring strict adherence to SOPs, client specifications, and safety protocols. You'll manage staffing levels and schedules to meet project needs.
  • Business Development Support: Assist the business development team with client proposals, contract negotiations, and capacity planning, providing operational insights to ensure service feasibility.
Qualifications
  • Experience: A minimum of 5-7 years of progressive experience in logistics, supply chain, medical and biological or biorepository management, with at least 3 years specifically in a laboratory, biotech, pharmaceutical, or tissue bank environment. Proven experience managing large inventories and a demonstrated ability to deliver high-quality client service.
  • Education: A Bachelor's degree in Supply Chain Management, Logistics, Business Administration, or a related scientific field.
Competences
  • In-depth knowledge of relevant regulatory requirements (e.g., FDA, AATB, DOT, IATA, GLP, GMP, GCP, GDPR, HIPAA).
  • Strong experience with Inventory Management Systems (IMS), ERP, and LIMS software.
  • Exceptional organizational skills, attention to detail, and problem-solving abilities.
  • Strong leadership and team management abilities.
  • Excellent written and verbal communication skills, with the ability to coordinate effectively with clients, regulatory bodies, and internal teams.
  • Fluent in English. Spanish is a plus.
Location and travel
  • Barcelona, Spain.
  • The core team is based in European time zones.
  • Travel may be required occasionally.
