Finance Operations Associate - Europe
Job description
We are looking for a Finance Operations Associate to support day-to-day financial processes across our global entities and ensure smooth execution of operational finance tasks. Reporting directly to our CFO, this role is critical to ensuring the accuracy, timeliness, and compliance of our internal finance processes as we scale.
You will support accounting workflows, payments, reconciliations, vendor and grant management, and help prepare materials for audits and reporting. The role is ideal for someone detail-oriented, reliable, and comfortable operating across jurisdictions and systems.
Key accountabilities and responsibilities
- Support accounts payable/receivable processes across multiple entities
- Assist with monthly reconciliations, bookkeeping, and internal financial reporting
- Liaise with external accounting providers, including inSpain, Malta and the US
- Help prepare documentation for grant claims, audits, and investor reporting
- Maintain and improve finance-related tools and documentation (e.g., budget trackers, vendor logs)
- Process employee payroll, new hires registration and onboarding
- Track internal expenses, reimbursements, and credit card usage
- Ensure consistent record-keeping and compliance with internal controls
- Support CFO on ad hoc finance projects and analysis, as needed
Qualifications
- Bachelor’s degree in Finance, Accounting, Economics, or a related field
- 2–4 years of experience in finance operations, accounting, or business administration
- Proficiency with spreadsheets (Google Sheets or Excel) and accounting software
- Nice to have:
- Familiarity with grant reporting requirements (e.g., EU Horizon Europe or similar)
- Experience supporting finance in multi-entity, multi-currency structures
- Exposure to HubSpot, QuickBooks, Holded, or similar financial tools

- Strong attention to detail, ability to organize and follow through on multiple tasks
- Comfortable working independently in a fast-paced, remote-first startup environment
- Excellent communication skills; able to coordinate across departments and geographies
- Passionate about technology, driving efficiency through continuous process optimization, automation, and AI leveraging
- Startup Mindset: Agile, accountable, and solution-driven
- Fluent in English. Knowledge of Spanish and Spanish GAAP/accounting practices is a plus

Flexible (Europe preferred; knowledge of Spanish accounting a plus)
